Designing with Purpose:
Studio Booking System - Music Studio Booking Experience
• Service Design • Booking Flow • Public Sector

The Challenge
The existing studio booking process relied heavily on staff and lacked a clear, consistent user journey. New visitors often didn't know how to get started, while manual coordination created unnecessary friction for both users and employees.
Research & Discovery
Through observations, conversations with staff and years of practical experience in the organisation, key pain points were identified. The goal was to simplify the experience, reduce uncertainty and create a booking process that felt intuitive from the very first interaction.
Design Process
The solution was built around clear user flows, simplified information architecture and accessible interactions. QR codes, structured booking requests and transparent scheduling reduced complexity while making the experience easier to understand for both visitors and staff.

Accessibility & Simplicity
Accessibility was considered throughout the design process by reducing cognitive load, improving clarity and creating predictable interaction patterns. The focus was on helping every visitor understand what to do next without unnecessary guidance.
Outcome
The final concept provides a scalable and easy-to-manage booking experience that supports both users and staff. By simplifying the overall journey, the solution creates a more welcoming, efficient and sustainable service.
Reflection
This project reinforced the importance of designing around real user behaviour rather than assumptions. Small improvements in structure, communication and accessibility can significantly improve the overall experience.
